1. Who we are
This Privacy Policy explains how Vyom Technologies and Solutions (“Vyom Tech Sol”, “we”, “us”, or “our”) collects, uses, and protects information when you visit our website and use its features — the AI console, the project estimate tool, and the call-booking tool. 2. Information we collect
Information you provide directly. Depending on which features you use, we may collect:
- Estimate requests: your name, email address, phone number, company (optional), address (optional), project type, desired timeline, and the project description you write. We send a one-time verification code to your email address and only run the estimate once you enter it back, so that an estimate is never produced for an address you do not control.
- Call bookings: your name, email address, and the day and time slot you select.
- AI console messages: the questions and text you type into the console so we can respond.
- Direct correspondence: any information you include when you email or otherwise contact us.
Information collected automatically. When you use the site, our systems may record basic technical data such as your IP address (used for rate limiting and abuse prevention), browser and device information, and timestamps of requests. We also count page views and measure page-loading performance through our hosting provider’s built-in analytics, both of which are cookieless and report aggregate figures only — they do not build a profile of you or follow you to other websites. If you submit an estimate request or book a call, we also store which page you first landed on and the domain that referred you, as described in section 6. We do not use advertising or cross-site tracking cookies.
3. How we use your information
We use the information we collect to:
- Generate project estimates and respond to your enquiries;
- Schedule, confirm, and manage the calls you book with us;
- Answer your questions through the AI console;
- Follow up with you about your project, typically by email or phone;
- Operate, secure, debug, and improve the website and our services; and
- Comply with legal obligations and enforce our terms.
4. AI-assisted features
The AI console and the estimate tool are powered by a third-party large-language-model provider (OpenAI). When you use these features, the text you submit — together with context about our services — is sent to that provider to generate a response or estimate. Your console questions are also converted to a numeric representation by the same provider so we can find the most relevant parts of our own documentation to answer with. Please do not enter sensitive personal information, credentials, or confidential third-party data into the console or estimate fields. AI-generated output may be inaccurate or incomplete and should not be relied on as professional advice.
5. How we share information
We do not sell your personal information. We share it only with service providers who help us operate the site, and only as needed to provide our services:
- Supabase — database, authentication, and storage of the records described above;
- Vercel — hosting and delivery of the website, and aggregate page-view analytics;
- Railway — hosting of our backend application services;
- OpenAI — processing of AI console and estimate inputs, both to generate responses and to compute the embeddings used to retrieve relevant content.
We may also disclose information if required by law, to protect our rights or the safety of others, or in connection with a merger, acquisition, or sale of assets. These providers are bound to handle your data only on our instructions and to keep it secure.
6. Cookies and local storage
The public pages of this site do not require you to sign in and set no advertising or analytics cookies. If you access a restricted area (such as an internal dashboard), we use essential authentication cookies to keep you signed in. You can control cookies through your browser settings; disabling essential cookies may affect functionality.
Email verification. Entering the code we mail you creates a sign-in session for your email address in our authentication provider and stores it in your browser. It exists so our servers can confirm the address on your estimate is yours; we do not use it to track you across the site or to sign you up for anything, and no password is created. The verification email itself is the only message sent automatically — everything after it comes from a person.
Session storage. When you first arrive, we record in your browser’s session storage which page you landed on, the website that referred you (its domain name only, never the full address), and any campaign tags in the link you followed. This is attached to your submission if — and only if — you choose to request an estimate or book a call, so we can tell which of our pages are useful. It is not a cookie, contains no identifier for you, is never shared with anyone else, and your browser discards it when you close the tab.
7. Data retention
We keep the information you submit for as long as needed to respond to your request, deliver our services, and meet legal, accounting, or reporting requirements. Estimate and booking records are retained while there is an active or prospective business relationship, after which they are deleted or anonymised. You may request deletion earlier (see “Your rights” below).
8. Data security
We use reasonable technical and organisational measures — including encryption in transit, access controls, and least-privilege practices — to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
9. International data transfers
Our service providers may process and store data in countries other than your own, including the United States. Where such transfers occur, we rely on appropriate safeguards as required by applicable law to protect your information.
10. Your rights and choices
Depending on where you live, you may have the right to access, correct, update, delete, or restrict the processing of your personal information, to object to certain processing, and to request a copy of your data. To exercise any of these rights, email us at hello@vyomtechsol.com and we will respond as required by applicable law. You may also unsubscribe from any non-essential email at any time.
11. Children's privacy
This site is intended for businesses and adults. It is not directed to children, and we do not knowingly collect personal information from anyone under the age of 16. If you believe a child has provided us information, contact us and we will delete it.
12. Third-party links
Our site may link to third-party websites or services that we do not control. This policy does not apply to them, and we are not responsible for their privacy practices. Please review their policies before providing information.
13. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “last updated” date above and, where appropriate, provide additional notice. Your continued use of the site after changes take effect means you accept the updated policy.
